Setting up mail in a place

If you intend to rely on the IBM® Lotus® Quickr mail services, you can set it up as follows:

Setting up a mail room

When you first create a place, the place is set up to receive mail. If you decide you do not want to receive mail in the place, however, you can block the reception of mail.

If you are a place manager, you can also choose the room you want mail delivered to. When you first create a place, the place is set up to receive and store mail in the Index of the top-level room. If you decide you do not want to receive and store mail in the top-level room, you can designate another room as the repository for incoming mail. Lotus Quickr then stores the mail in the Index of that room. To specify where your mail is delivered:

  1. Enter the top-level room of the place.
  2. In the table of contents, click Customize > Basics > Change Basics.
  3. Under Mail - Do you want people to be able to send mail to <place_name> as a means of adding content to this place? click Yes or No and then click Done.

To block the reception of email in your place, click No under Incoming Mail -- Do you want people to be able to send mail to <place_name> as a means of adding content to this place?

Note: When you change the room where you want your mail to appear, it can take up to five minutes before new mail will be directed to the newly chosen room.
Sending invitations to new place members

You can send new members an invitation to visit a place when you add them as a place member. To do this, you must have an email address. To send the invitation:

  1. Click Members in the table of contents.
  2. Click Manage Members and then Under Readers, Authors, Editors, Superusers, or Managers click Add.
  3. Add the names of individuals or groups to the text box.
  4. Make sure Send an invitation to any new users who have email is selected.

When a group is invited to a place, all the members of the group are sent an invitation explaining that the group has been added as members and telling them to log in to the place using individual user names.

Sending newsletters to place members

You can send a personalized summary of recent activity in the place to all subscribing members, on a daily or weekly basis. It informs members by email about tasks and events that are due, content that has been added or updated, and membership changes. You can tailor the notifications that are sent to the members of the place. To send newsletters:

  1. In the table of contents, click Customize > Basics > Change Basics.
  2. In the Notifications section, select Send a regular email news update to members.
  3. Click Customize News and select the items you want to appear in the notification email.
    Note: The Content Update section of the newsletter always has new items, whether they are selected in this list or not.
  4. Select whether the newsletter needs to be sent daily or weekly.
Note: The Lotus Quickr administrator must perform certain actions for daily and weekly newsletter functionality to work.
Instructing members and nonmembers on how to send mail

The mail facility in Lotus Quickr gives you another way of adding pages to your place. For example, suppose some members of your place are having an email discussion about matters that pertain to your place and you want to capture some of those emails for reference. A member (or nonmember) can forward his or her email to the place, and you can then move that email message into a folder to make it available for use within the place.

When people send mail to your place, they must use the following address format:

Team_Workplace_Name@Mail_Domain_Name

The mail domain name is usually the name of your Lotus Quickr server. However, the Lotus Quickr administrator can change the mail domain, so you might need to verify the mail domain name with your Lotus Quickr administrator.
